Entry Rules for Quilts and Entry Forms

1. You must be a member of the East Bay Heritage Quilters (EBHQ).

2. Your quilt must be a new work completed between March 2018 and January 2020.

3. Two quilts may be entered for consideration. One quilt will be accepted from each member. If space allows, a second item MAY be selected. If you submit more than one quilt, complete the forms for each entry and note your 1st & 2nd choices.

4. A minimum of 25% of the sale price of Member Quilts sold at VIC goes to EBHQ.

5. If you are entering your quilt as part of a group, please note additional rules below.

6. Maximum width is 108”; maximum length is 90” (NO EXCEPTIONS).

7. All quilts must have a 4” sleeve securely sewn to the back of the quilt, one inch below the top edge of the quilt.

8. Each entry must also have a full sheet of paper with your name and the quilt’s name. Use the separate Photo /Swatch Form for this or create your own form in this format.

Attach the following to this paper:

a) a properly oriented 4” X 6” photo on photo paper that shows the true colors of your quilt. If your quilt is for sale, include a 2nd photo. Both photos must have your name, your quilt’s name, and “Top” written on the back. If you feel both sides of your quilt should be displayed, include a photo of the back and make an additional notation.

b) 2-3 small swatches (2” square) of the dominant fabrics in the quilt.

9. By submitting your entry, you give permission for your name to be used and your entry to be photographed, videotaped, displayed on an EBHQ and/or VIC web site, or used in any publicity deemed appropriate by EBHQ or its representatives.

10. A minimum of 4 hours of volunteer time for the show is expected of you if you display a work in this show. You must complete the Volunteer Form. This volunteer time is in addition to any volunteer time you may work for Marketplace.

11. By submitting your entry form online, you agree to the Insurance Waiver and Assumption of Loss Release on each entry form.

12. Submit entry & volunteer forms online or mail the forms to Mary Gilkerson, P.O. Box 6665, Albany, CA 94706. For online entries you must still send/deliver your photos & swatches.

Rules for group submissions:

Each individual piece in the group must be made by an EBHQ member and will be considered one of that member’s entries. Therefore, group entries must be submitted with the same choice for each piece entered, that is, 1st choice or 2nd choice.

A set of small group pieces (such as 12” X 12”) must be attached to one background fabric for hanging with a single sleeve, arranged in a balanced presentation, not to exceed our maximum size for a single quilt, 108” W X 90” L. Larger group pieces may be attached to a single background or not. If you have questions about your group of pieces, please contact Show Design (Fern Royce at fern.royce@gmail.com or 510-289-3516).

A group piece assembled on a single back should have one entry form for the assembled grouping. A photograph of the assembled group must be submitted with the entry.

If your group entry does not conform to the above rules, please contact Show Design Show Design (Fern Royce at fern.royce@gmail.com or 510-289-3516) to clarify how the group entry could work.

Any group entry must be discussed in person with Member Quilts (Mary Gilkerson, 693-3270 or mary@gilkerson.net) for signage and program issues.
